What information we collect

We currently collect and process personal identifiers, contacts and characteristics (such as your name and contact details); financial information (for the purpose of combating fraud and money laundering); health and medical information (for the purpose of providing insurance advice); and property information (for the purpose of mortgage underwriting).

How we get your information and why we have it

Most of the personal information we process is provided directly by you, for mortgage advice, assessment, qualification and underwriting, or for insurance advice, assessment, qualification and underwriting. This information is collected on a contractual basis to assist us in providing you with a mortgage and protection advice service.

We also receive personal information indirectly from lenders and insurers, who provide us with the information necessary to give advice, establish a product, or service your account on an ongoing basis.

Who we share it with

We may share your information with lenders and insurance companies (the specific firms approached will be disclosed to you during the advice process), the Financial Conduct Authority and the Information Commissioner's Office for regulatory purposes, the National Crime Agency and other law enforcement bodies, and the customer relationship management and product sourcing systems used in the day-to-day processing of your data.

Under the UK General Data Protection Regulation, the lawful bases we rely on are contractual obligation, legal obligation and legitimate interest.

How we store your information

Your information is securely stored in electronic format using our customer relationship management system, Smartr365. We also use market-leading product sourcing technology provided by L&G Ignite and Solution Builder.

We keep your personal information for as long as is necessary to fulfil our regulatory and legal responsibilities — that is, for as long as you are legally able to file a complaint, or as long as we have a legal obligation under anti-money-laundering legislation. We then dispose of your information by permanently deleting it from our files.

Your data protection rights

Under data protection law you have rights including the right of access to copies of your personal information; the right to rectification of information you believe is inaccurate or incomplete; the right to erasure in certain circumstances; the right to restriction of processing in certain circumstances; the right to object to processing in certain circumstances; and the right to data portability — to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay a charge for exercising your rights. If you make a request, we have one month to respond. Please contact us at info@regencyfinance.co.uk to make a request.
